We are a growing business operating across Pest Control and Property Maintenance/Holiday Let Management. We pride ourselves on delivering exceptional customer service and maintaining high operational standards. We are looking for a highly organised, proactive, and reliable Office Administrator / Operations Coordinator to become the backbone of our day-to-day operations.
This is a varied and fast-paced role that requires excellent organisational skills, confidence communicating with customers and staff, and the ability to manage multiple priorities simultaneously.
Key Responsibilities
Scheduling & Operations
- Book pest control and property maintenance jobs.
- Allocate work to engineers and contractors.
- Coordinate daily schedules and emergency call-outs.
- Monitor staff attendance, productivity and job completion.
- Track engineer locations and progress.
- Liaise with field staff.
- Confirm customer appointments.
Customer Service
- Answer calls and emails.
- Respond to enquiries.
- Handle complaints.
- Request reviews.
- Maintain customer relationships.
Administration
- Prepare quotations and invoices.
- Chase overdue invoices.
- Process payments.
- Organise routine contract visits.
- Maintain records.
- Produce reports.
- Manage filing.
Fleet & Compliance
- Maintain MOT, servicing, insurance, road tax and inspection records.
- Monitor renewals.
HR & Staff Support
- Book training.
- Maintain employee records.
- Monitor DBS and compliance.
- Assist onboarding.
- Coordinate rotas.
Property & Holiday Let Support
- Book cleaners.
- Coordinate contractors.
- Monitor maintenance.
- Liaise with landlords and guests.
Business Development & Marketing
- Contact letting agents.
- Build relationships.
- Support marketing.
- Update social media.
- Generate new business.
Skills & Experience Required
Essential:
- Administration experience.
- Excellent organisation.
- Strong communication.
- Microsoft Office.
- Ability to prioritise.
- Attention to detail.
- Initiative.
Desirable:
- Pest control, facilities management, construction, property maintenance or property management experience.
- CRM/job management software.
- Bookkeeping/invoicing.
- Sales/customer service.
