Administrative Assistant / Team EA – Property Development Company

Our client is a UK commercial property investment and development company based in North West London. The company was founded over twenty years ago and has grown into a fast-moving, well-established business. The team of around thirty covers surveying, acquisitions, investment and development.

The company is proud of its culture. The structure is flat, and people are friendly, inclusive and very hardworking.

The role

As the business grows, it is looking for an Administrative Assistant / Team EA to support its busy Development Team. You'll report to the Development Team Director and give them EA support. You'll also share general office administration with the Back of House team.

The work is varied and changes with the seasons, and there's real scope to grow within the business.

What you'll be doing

  • Managing diaries: booking meetings and lunches in-house or externally, checking availability, sending invitations, reserving tables and collecting dietary requirements
  • Managing emails and giving general EA/PA support to the Development Team Director
  • Planning and arranging business trips
  • Attending internal meetings, taking notes and sending them out promptly afterwards
  • Entering contact and property records into the company's bespoke CRM, and helping colleagues use it
  • Logging property management compliance records (such as EPCs)
  • Filing documents and sending out transactional documents
  • Answering phones and the intercom, taking messages, receiving deliveries and booking couriers
  • Joining colleagues on site visits when needed
  • Helping with any other administrative work that comes up

About you

This role would suit someone early in their career with a couple of years' experience, or someone coming back to work after a career break. You'll need:

  • At least two years' experience in a similar administrative, EA or PA role, including diary management
  • Excellent organisation and attention to detail, and the ability to juggle several tasks and projects at once
  • Strong written and verbal communication, with an open, honest and friendly style that works well with people at every level
  • Confidence using Microsoft Office (Outlook, Excel, Word, PowerPoint) and CRM systems (training on the company's own CRM is provided)
  • A proactive approach to AI and productivity tools such as scheduling tools, chatbots and AI notetakers, and ideas for using them to automate repetitive tasks and work more efficiently
  • Good analytical and data skills
  • The ability to stay calm under pressure, work on your own when needed, and happily pitch in wherever you're needed
  • Ambition, drive and eagerness to learn

Nice to have

  • An undergraduate degree
  • Experience in property, or an interest in the sector
