The Document and Compliance Coordinator plays a crucial role in ensuring the accuracy, integrity, safety, accessibility and compliance of documentation at Geoquip Marine (GM). The successful candidate will manage and control all Integrated Management System documentation including working document repositories for the Geoquip Marine Group, both on a corporate level but also for project documentation. You will be responsible for ensuring that all documents are accurately recorded and maintained according to Company standards, ISO Standards and regulatory requirements.

What you’ll do:

The role includes the development and implementation of appropriate and comprehensive document control procedures, management of document repositories, management of GM’s Integrated Management System, interpretation and presentation of statistical compliance information and facilitation of document reviews and approval processes. This position requires a combination of excellent communication skills, organisational skills and attention to detail, to effectively manage document control processes and support GM\'s objectives.

The duties assigned to this role are varied; these include but are not limited to the following:

  • Develop and implement Document Control Procedures for the Integrated Management System, ensuring consistency across corporate and project documentation, and establish standards for formatting, naming, version control, and access.
  • Maintain up-to-date knowledge of Document Management Systems and software; organise and archive physical and electronic documents; manage a centralised repository with accurate labelling and categorisation; and ensure compliance with ISO and regulatory standards.
  • Coordinate the Document Review and Approval process for Integrated Management System documents, distribute them for stakeholder feedback, and monitor approval status to ensure timely resolution of actions.
  • Ensure Document Compliance by ensuring they meet internal quality and regulatory standards, conduct regular audits, and collaborate with compliance teams to address issues.
  • Deliver Training and Support on document control procedures, tools, and best practices, acting as a point of contact for related queries.
  • Identify and implement Continuous Improvements to document control processes and workflows, and monitor compliance KPIs to enhance system effectiveness.
  • Perform any other duties as required, within the scope of the role and the incumbent’s competencies.

Who We’re Looking For:

  • Qualification in Business Administration, Quality Management, Information Management or related field
  • ISO 9001 Internal or Lead Auditor Qualified
  • Trained in ISO standards and regulatory compliance frameworks.
  • In-depth experience of working with ISO Management Systems
  • Proven success in document control or records management, preferably in a corporate and projects environment
  • Proven success in interpretation and presentation of statistical compliance information.
  • Experience in project related document control
  • Highly computer literate, with extensive understanding and proficiency in using document management software and tools (e.g., SharePoint, Documentum, Sertica etc.) and able to handle document access intaking and archiving responsibilities
  • Proficient in developing, implementing and maintaining document control processes and procedures
  • Proficient in using Microsoft Office and Power BI
  • Strong understanding of document control principles, standards and best practices
  • Excellent time management and organisational skills, with meticulous attention to detail
  • Ability to work independently and collaboratively in a fast-paced environment
  • Excellent interpersonal skills and works well with other team members / disciplines and in a multi-cultural environment
