Executive Assistant & Office Administrator Role Summary

Our client, a high-end interior design studio, is looking for an Executive Assistant & Office Administrator to join their team. This is an exciting opportunity to support the Managing Director while overseeing the smooth day-to-day running of the studio.

Specialising in luxury residential and hospitality projects across the UK and internationally, the studio offers an end-to-end service across Architecture, Interior Design and Project Management.

The Role

This is a varied, hands-on position combining executive assistance with office and operational support. You will act as a key point of contact between the Managing Director, team, clients and external partners, helping to keep the studio organised and running efficiently.

Key responsibilities include:

  • Managing the Managing Director’s diary, emails, priorities and meetings.
  • Coordinating domestic and international travel and logistics.
  • Welcoming clients, visitors and external partners to the studio.
  • Organising client meetings, hospitality and VIP arrangements.
  • Preparing meeting materials and tracking actions and follow-ups.
  • Managing CRM records and following up with clients and contacts.
  • Coordinating suppliers, office orders, trade accounts and software licences.
  • Overseeing the presentation, organisation and day-to-day upkeep of the studio.
  • Managing expenses, invoices and general financial administration.
  • Supporting recruitment administration, onboarding and new starter setup.
  • Maintaining filing, documentation and shared drive organisation.
  • Supporting internal events, meetings and studio workshops.

About You

We are looking for someone who is:
  • Highly organised, proactive and solutions-focused.
  • An excellent communicator with strong attention to detail.
  • Professional and personable when dealing with clients, visitors and senior stakeholders.
  • Confident managing multiple priorities in a fast-paced environment.
  • Discreet and comfortable handling confidential information.
  • Proficient in Microsoft Office and confident using digital platforms.
  • Experienced in an EA, Office Administration, Studio Coordination or similar position.
  • Ideally experienced within architecture, interior design or another creative environment.
  • Familiar with CRM or project management systems would be advantageous.
