Duties and responsibilities related to the Front Office Host/ess role

  • Ensures that the task sheets are accurately completed at all times to ensure the most efficient communication with all Hotel departments.
  • Responsible for managing the flow of incoming guest services email requests and their delegation for completion
  • To meet and greet arriving and departing guests in a friendly and courteous manner assisting with luggage and transportation arrangements as appropriate.
  • Runs online back-ups every hour so that regular saves are done.
  • Ensures that all city ledger and third party payment correspondence is available upon check in and that the information corresponds in Opera and Reserve.
  • Ensures that all group correspondence is available on check in and that the information corresponds in Opera.
  • Checks and actions the trace report on a daily basis and reports all unresolved traces to the Shift Leader
  • Allocates showrooms on a daily basis according to guidelines.
  • Balances the house count for the day to reflect actual room availability.
  • Allocates arrivals for the day, focusing on VIP arrivals and guests with special requests.
  • Checks and resolves room discrepancies on a daily basis.
  • Checks that early arrival guests are dealt with in an efficient and speedy manner using the queue room procedure.
  • Ensures that express checkouts are settled in an efficient and speedy manner.
  • Ensures that room moves are actioned according to standard operating procedures.
  • Does daily credit limit checks and reports guests without sufficient credit to the Front Office Manager.

About you

We are looking for a confident and service-oriented Front Office Host with a passion for delivering exceptional guest experiences. Previous experience in a similar front-of-house or hospitality role is highly advantageous, with hotel or resort experience considered a strong asset. You should have excellent communication skills, a professional appearance, and the ability to remain calm and courteous in a fast-paced environment. A proactive, team-focused attitude and strong organisational skills are essential, along with a genuine enthusiasm for customer service and attention to detail.
