Now hiring: UK Admin Assistant

Our UK Visas department is looking to add an Admin Assistant to their team in London.

Are you a highly organised, detail-oriented individual with a knack for keeping things running smoothly? We’re looking for a proactive Administrative Assistant to join our dynamic team in our London office and provide essential support across administrative, reception and casework functions. If you\'re passionate about efficient systems and enjoy working in a collaborative environment, this role is for you!

You’re perfect for this position if you:

  • Have previous experience in an administrative, support or reception role.
  • Possess excellent communication and interpersonal skills, with a professional and friendly demeanour – both in person and over the phone.
  • Are confident handling a high volume of incoming calls and walk-in clients.
  • Are highly organised with strong attention to detail and the ability to prioritise tasks effectively.
  • Thrive under pressure and can work independently or collaboratively within a busy team.
  • Demonstrate proficiency in Microsoft Office (especially Word, Excel and Outlook) and are comfortable using digital systems such as CRMs (experience with YuDo or similar platforms is advantageous).
  • Exercise discretion when handling confidential client information.
  • Are a proactive self-starter who takes initiative and contributes to continuous improvement.

Your role and responsibilities

Among other tasks, your main responsibilities will include:

Reception and client engagement

  • Welcoming and assisting walk-in clients in a friendly and professional manner.
  • Ensuring the smooth operation and presentation of the reception area and consultation rooms.
  • Handling a high volume of incoming calls, including directing calls and taking messages for relevant departments.

Administrative and casework support

  • Maintaining and updating document logs for all client correspondence with the Cape Town office.
  • Coordinating document deliveries and collections between UK and South African teams.
  • Scanning, uploading and accurately filing client submissions and digital documents in CRM systems.
  • Supporting UK-based caseworkers with form completion, submission preparation and uploading case files.
  • Auditing CRM Work-in-Progress lists and caseworker cabinets to ensure files are complete and up to date.
  • Assisting with digital file organisation, including archiving, secure handling of documents and streamlining storage practices.

General support and ad hoc duties

  • Assisting with general administrative tasks across the department or wider Group as required.
  • Supporting team members on YuDo during peak periods or when colleagues are on leave.
  • Participating in department initiatives to improve client service, digital processes and office efficiency.
  • Contributing to project-based tasks such as decommissioning physical files and enhancing digital security practices.
