Scope of the Role:

Reporting to the Sales Operations & Merchandising Manager, the Operations Administrator provides administrative support across the Operations team, including Demand Planning, Merchandising and Sales Order Management (SOM). The role is designed to provide flexible resource where business demand is greatest, ensuring continuity of service, maintaining data accuracy, and supporting the smooth execution of operational processes.

The Operations Administrator will work closely with other business functions, assisting with order processing, inventory administration, critical path activities, reporting and customer communications. The role requires a proactive, organised individual who can adapt quickly to changing priorities and support multiple operational functions.

Key Duties and Responsibilities:

  • Provide administrative and operational support across the Demand Planning, Merchandising and Sales Order Management functions as business priorities require.
  • Process customer sales orders, amendments and related administration, ensuring accuracy and timely completion.
  • Maintain accurate data across ERP systems, customer portals and internal business systems.
  • Prepare and maintain operational reports, spreadsheets and KPI information to support business decision making.
  • Assist with inventory reporting, stock analysis and forecasting administration.
  • Support the maintenance of customer critical paths, ensuring key dates, actions and milestones are accurately tracked.
  • Raise and maintain purchase orders, production sales orders and other operational documentation as required.
  • Liaise with Commercial, Operations, Finance, and Warehouse teams to ensure the timely flow of information and resolution of operational queries.
  • Build positive working relationships with customers, suppliers and internal stakeholders, providing a high level of service.
  • Monitor workload and priorities, supporting areas of highest demand to maintain operational performance.
  • Assist with customer communications, order follow-up and production updates where required.
  • Support continuous improvement initiatives by identifying opportunities to improve processes, reporting and administrative efficiency.
  • Maintain accurate records, documentation and operational files in accordance with company procedures.
  • Provide holiday and absence cover across the Operations team following appropriate cross-training.
  • Support additional operational and administrative tasks as required to meet business objectives.
Key Skills and Attributes:
  • Previous experience within an Operations, Supply Chain, Customer Service, Planning or Merchandising environment.
  • Competent in using ERP systems, Microsoft Excel and other Microsoft Office applications.
  • Strong analytical skills with the ability to interpret operational data and produce accurate reports.
  • Excellent attention to detail with strong organisational and time management skills
  • Ability to manage multiple priorities and adapt to changing business demands.
  • Excellent communication skills with the ability to build effective working relationships across all departments.
  • Customer-focused with a proactive approach to problem solving.
  • Flexible approach and willingness to support different operational functions as workload demands.
  • Ability to work as part of a team but also independently and collaboratively within a fast-paced environment.
  • Willingness to learn new processes and develop knowledge across Demand Planning, Merchandising and Sales Order Management.
