Personal Assistant (PA) – 7 Month Contract

Contract: Fixed-Term Contract until February 2027

Working Pattern: Full-time, with a minimum of 4 days per week in the London office

About the Role

We are looking for a highly organised, proactive and professional Personal Assistant to join Newmark's Retail Agency team on a fixed-term contract until February 2027.

Supporting a busy team of senior professionals, you will play a key role in ensuring the smooth day-to-day running of the department. This is an excellent opportunity for an experienced PA who thrives in a fast-paced, client-focused environment and enjoys working collaboratively.

Key Responsibilities

  • Providing comprehensive diary management across multiple stakeholders.
  • Coordinating meetings, client appointments and travel arrangements.
  • Preparing presentations, reports, correspondence and other documentation.
  • Managing inboxes and handling communications professionally and efficiently.
  • Organising team meetings, events and hospitality where required.
  • Processing expenses and supporting with administrative tasks.
  • Maintaining accurate records and ensuring information is up to date.
  • Acting as a key point of contact for internal and external stakeholders.
  • Providing general administrative support to the Retail Agency team and assisting with ad hoc projects as required.
About You We're looking for someone who is:
  • An experienced Personal Assistant or Executive Assistant, ideally within property or another professional services environment.
  • Exceptionally organised with excellent attention to detail.
  • Able to prioritise competing demands and work effectively under pressure.
  • A confident communicator with strong interpersonal skills.
  • Proactive, adaptable and able to use initiative.
  • Highly proficient in Microsoft Office, including Outlook, Word, PowerPoint and Excel.
  • Committed to delivering a high standard of service and maintaining confidentiality.
This role is based in our London office , with an expectation of working in the office a minimum of four days per week .
