Personal Assistant to Managing Directors

Signature Law is an East London firm specialising in family, conveyancing and private client. We pride ourselves on being professional and aim to give the best quality service. We are currently seeking a highly organized, proactive, and detail-oriented Part-Time Assistant to provide dedicated support exclusively to the firm’s Directors.

Role Overview: In this role, you will be the right hand to our Directors, ensuring their day-to-day operations run smoothly. The ideal candidate will be a versatile professional who excels in communication, thrives in an organized environment, and has a strong head for numbers and financial administration. You will act as the first point of contact for the Directors and handle a mix of diary management, general administration, and vital billing duties.

Key Responsibilities:

· Diary & Meeting Management: Coordinate and schedule internal and external meetings, manage the Directors' calendars, and ensure they are well-prepared for daily appointments.

· Communication: Act as the primary point of contact for the Directors. Answer, screen, and direct phone calls with a high level of professionalism and confidentiality.

· Financial Administration: Assist with core financial tasks, including raising invoices, processing bills, and general billing administration.

· General Administration: Perform a variety of administrative duties to support the Directors, including email correspondence, document preparation, data entry, and filing.

Key Requirements & Skills:

· Communication Skills: Exceptional verbal and written communication abilities, with a professional and welcoming telephone manner.

· Organizational Skills: Highly organized with a keen attention to detail. Ability to prioritize tasks effectively and manage time efficiently in a busy environment.

· Finance/Numeracy Skills: Confident in handling numbers with previous experience in billing, raising invoices, or basic bookkeeping.

· Tech-Savvy: Proficient in standard office software (e.g., Microsoft Office suite, email management) and comfortable learning new billing or legal software.

· Experience: Previous experience as an Executive Assistant, Personal Assistant, or Administrative Assistant is highly preferred. Experience within a legal or professional services environment is advantageous but not essential.

· Discretion: A high level of integrity and confidentiality, given the direct work with the firm's leadership.
