Programme Support and Admin Officer

Frazzled is a small mental health and wellbeing charity founded by Ruby Wax OBE, based on the power of emotional openness. Our free, volunteer-led meetings run online every single day of the year, alongside face-to-face groups, offering people a chance to share, listen and feel heard in a supportive community.

We're looking for a confident, positive self-starter with a high level of emotional intelligence, attention to detail and excellent communication skills to be our new Programme Support and Admin Officer.

You will coordinate our meeting schedule, manage busy inboxes and help our volunteers feel supported. Working closely with the Programmes Manager, you will keep services running smoothly and our systems well organised. You will also support the CEO and Head of Fundraising with application administration, reports, meetings and events.

Practical confidence with technology is essential. You will investigate everyday Zoom problems and help facilitators resolve them patiently, following through on queries and referring concerns to the Programmes Manager.

Working pattern

Our meetings run from early morning until late evening, seven days a week. Hours can be spread across the week, with weekday inbox checks and some evening and occasional weekend support for technical or meeting issues. All checks and out-of-hours work form part of your 24 contracted hours, with clear cover arrangements.

Key responsibilities

Core programme and technical support

  • Coordinate schedules, liaise with volunteers, arrange routine cover and keep booking details, Zoom sessions and meeting documents up to date.
  • Respond helpfully and sensitively to public and volunteer enquiries, following up queries and escalating concerns appropriately.
  • Help facilitators resolve Zoom problems with joining links, host access, audio, video and settings. Create simple guidance and short video walkthroughs.
  • Host Ruby Wax public meetings on Zoom and provide technical support.

Volunteer support

  • Support recruitment and onboarding through interview arrangements, DBS checks, induction and training bookings, and accurate volunteer records.
  • Review volunteer feedback and promptly refer safeguarding, wellbeing or performance concerns to the Programmes Manager.
  • Maintain the observation tracker and arrange observations. Following training, support agreed observations under the manager's guidance.
  • Organise and minute monthly volunteer meetings and prepare the volunteer newsletter.

Data and internal operations

  • Set up agreed meeting polls and participant surveys, check attendance and feedback data, and prepare clear summaries for review.
  • Work directly with the CEO and Head of Fundraising on agreed application and reporting administration, gathering documents, tracking deadlines and organising meetings or events.
  • Help prepare trustee papers and Annual Report materials, and maintain accessible shared files and clear handovers.

Shared responsibilities

  • Support partner correspondence and programme communications, suggest practical improvements and contribute to agreed organisational projects.

About you and applying

You will bring sound judgement, a compassionate approach and confidence with spreadsheets and online systems. Experience in administration, volunteer support or a charity is useful, as is creating simple instructional videos.
