To manage key processes, systems, and communications that support staff, students, and carers/families and contribute to a well organised learning environment.</p> <p><strong>Working with: </strong>Senior Leadership Team and colleagues at Wings School Notts, Kedleston Management Team, families/carers, visitors</p> <p><strong>Reporting to: </strong>Office Manager</p> <p><strong>Wings School Notts, part of Kedleston Group, is an independent specialist school offering education to children age 9 to 17 who are on the autistic spectrum and are struggling in education and to fit in at mainstream or other specialist settings.</strong></p> <p><strong>Responsibilities and Professional Duties</strong></p> <p><strong><em>General </em></strong></p> <p>To ensure smooth administration of the school by providing a confidential administrative and telephone support service to the school, Reporting to the office manager </p> <p>To ensure smooth administration of the school by providing a confidential administrative and telephone support service to the school.</p> <p>· General reception duties i.e. telephone calls (incoming and outgoing), receiving visitors, distributing ingoing and outgoing mail and ensuring protocol followed.</p> <p>· Ownership of the reception area i.e. ensuring all certificates are up to date, keeping of reception area clean and tidy, ensure there is material available in promoting Wings Notts to visitors.</p> <p>· Check that staff have signed in using the sign in app and ensure visitors are signed in for fire evacuation purposes.</p> <p>· Update the school calendar with any appointments requested by Wings staff.</p> <p>· Take minutes as directed by SLT.</p> <p>· Check information on the website is accurate and liaise with Kedleston Management Team to ensure updates/corrections are made when needed.</p> <p>· Support education team with the collation and distribution of student reports to parents/carers/authorities.· Create staff ID cards.· Ordering of stock</p> <p>· Any other duties directed by the Office Manager/SLT.Referrals</p> <p>· Communicate with the referrals manager and Education SLT when a notification is received for a new referral and ensure all relevant paperwork is received.</p> <p>· Follow the referral process once a child has been accepted.</p> <p>· Send out all referral paperwork to parents and carers.</p> <p>· Set up all relevant student files and ensure all information is uploaded to Arbor.Sign in App & Arbor Systems</p> <p>· Ensure that new staff have been registered to the sign in app.</p> <p>· Check daily that all staff have signed in to the app for evacuation purposes.</p> <p>· Add all new starters, employees and students, to Arbor.</p> <p>· Maintain Arbor with any new relevant information.Training</p> <p>Maintain the training matrix and contact staff when individual training needs to be renewed.</p> <p>· Upload training certificates to electronic personnel records.Policies</p> <p>· Update and localise policies for Wings School as required.</p> <p>· Update the Work Force Census when new staff start at Wings Notts.</p> <p>· Distribute policies and other documents for staff sign off as requested by Office Manager<br> <br> </p> <p><strong><em>This job description was correct at the time of writing but may be subject to change and development according to the prevailing needs of Wings School Notts and Kedleston Group.</em></strong></p> <strong><em><br> </em></strong> <p>We are committed to safeguarding and protecting children and we expect all colleagues to share this commitment.
