Senior Marketing Assistant

We have an exciting opportunity for a Senior Marketing Assistant (Senior Admin) to join the Marketing team, based in the A&O Shearman Belfast office.

Our business development, marketing and communication teams contribute to the setting and achievement of the firm's business objectives, which includes supporting our partners and associates in their pursuit of becoming our clients' trusted advisers, building and maintaining long-lasting, deep institutional client relationships, winning new clients, increasing the visibility of the firm globally, and positioning the firm as the thought leader and most advanced law firm among the global elite law firms. The function works as one team across the globe with very close collaboration between the central teams and professionals supporting offices, practice groups, sectors and clients.

What you will do The Senior Marketing Assistant is our part of Marketing Solutions Team (MST) and provides proactive and detail-oriented support to the global marketing and business development initiatives of the firm. This role is integral to the smooth operation of the marketing function, ensuring the accuracy and effectiveness of marketing materials, data, and communications.

The Senior Marketing

Assistant will collaborate closely with business development, digital marketing, and creative teams to deliver high-quality support across a range of marketing activities.

  • Pitch aftercare and reporting: add proposals and opportunities to EPiC, liaise with BD teams to chase pitch outcomes., update and maintain master credentials lists and CVs, maintain and update standard text at a regional level, support pitch reporting activities.
  • Email marketing: collaborate with BD teams to assemble content for email campaigns, build and test mailings in Vuture, making necessary amendments prior to final review, managing lists for mailings and events, oversee contact management ensuring accurate data entry.
  • Data management: collect and manage matter descriptions, ensure data integrity, support the maintenance of accurate marketing databases.
  • Collateral management: amend marketing collateral, participate in central projects to update key brochure assets.
  • General marketing support: provide ad-hoc support to marketing, BD and comms teams as required, assist with the coordination and delivery of marketing projects and initiatives.
The working patterns available are:

  • Pattern 1: 2:00pm-10:30pm, permanent position
As part of our flexible working approach, hybrid working arrangements will be available. In addition, premium hours payments will form part of the overall package for those working outside core hours.

What you will have

  • Demonstrable experience in a marketing or business development support role, ideally gained within a professional services environment.
  • Highly organised with strong attention to detail and the ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite – Word, PowerPoint, Excel.
  • Experience with email marketing platforms and CRM/contact management systems.
  • Comfortable working with data, including data entry, management, and basic analysis.
  • Ability to work under pressure and meet tight deadlines.
  • Proactive, enthusiastic, and committed to delivering high-quality work.
  • A team player who contributes positively to team culture and objectives.
