Location: East London
Employment: Permanent, Full-Time
Hours: Monday to Friday, 9:00am to 5:00pm
Salary: £35,000 - £40,000 depending on experience

ROLE OVERVIEW

An established construction development business is seeking an organised and proactive Senior Project Coordinator to support the management of project administration, information and documentation across multiple projects.

The successful candidate will play a key role in ensuring project information is maintained accurately, kept up to date and easily accessible. This position combines document control, project administration and would suit someone with strong organisational skills who enjoys supporting project teams and maintaining structured processes. The role will involve supporting projects, working closely with project managers, consultants, contractors.

KEY RESPONSIBILITIES

  • Maintain project document registers and electronic filing systems.
  • Record, distribute, store and archive project documentation.
  • Ensure current revisions of drawings and documents are accurately maintained.
  • Monitor project folders and filing structures to ensure information is stored correctly.
  • Assist with document audits and identify missing or outdated information.

Project Coordination & Administration

  • Provide day-to-day administrative support to project managers and the wider team.
  • Organise project documentation, meeting minutes and action trackers.
  • Maintain project schedules, task lists and project records.
  • Coordinate document requests and information from consultants, contractors and external stakeholders.
  • Support project reporting requirements and information gathering.

Document Management Systems

  • Support the administration of the company's cloud-based document management platform.
  • Assist with user access and permissions.
  • Support internal and external users with document management queries.
  • Help ensure project folders remain organised and compliant with company procedures.

Drawing & Technical Information Control

  • Maintain drawing and document registers.
  • Ensure drawing folders correspond with project registers.
  • Assist with maintaining technical documentation and project specifications.

Building Safety & Compliance Information

  • Support the maintenance of project information required for regulatory and building safety compliance.
  • Assist with the management of structured project records and supporting documentation.
  • Organise project records to ensure clear audit trails are maintained.

Tender & Procurement Administration

  • Set up and maintain tender documentation folders.
  • Support the preparation and issue of tender information.
  • Maintain records relating to procurement exercises.

REQUIRED EXPERIENCE

Candidates should ideally have:

  • A minimum of 5 years' experience in Project Administration, Document Control, Project Coordination.
  • Experience maintaining document registers and structured filing systems.
  • Strong administrative and organisational skills.
  • Experience supporting multiple projects simultaneously.
  • Good Microsoft Excel, Word and Outlook skills.
  • Excellent attention to detail.

DESIRABLE EXPERIENCE

  • Experience using document management systems such as Box, SharePoint or similar platforms.
