Job summary

This role is based at our Head office with the potencial of some home working.

The successful candidate will work 24 hours per week Monday Thursday 08:30- 13:30 and Friday 08:30 -12:30 with some flexibility to cover colleagues when needed.

Main duties of the job

The Sexual Health Service provide community sexual & reproductive health and gynaecology services outside of hospital to patients across Sheffield. If successful you will work closely with our different operational teams to ensure our administration functions support the services, we operate.

The successful applicant will take responsibility for providing high level administrative support to our operational teams to achieve our motto of Right First Time. This is a varied and challenging role, suitable for someone who works well under pressure, is self-motivated and can multitask, whilst still working to a very high standard.

Job responsibilities

About the Role

  • Maintain accurate and systematic administrative systems and documentation, using agreed processes and procedures.
  • Use your knowledge and experience to resolve queries, problem-solve and identify improvements to administrative systems and processes.
  • Handle complex and sensitive information professionally and confidentially, using telephone, email and face-to-face communication, and escalating issues to the appropriate colleagues when required.
  • Provide high-level, professional and confidential administrative support to the wider PCS team.
  • Communicate with a wide range of stakeholders across health and social care, including Directors, Managers, GP practices, secretaries and patients.
  • Manage competing priorities, complex agendas and deadlines, ensuring work is completed efficiently and to a high standard.
  • Coordinate actions and follow up on outstanding tasks, supporting services to keep activities on track.
  • Provide administrative support for internal and formal meetings, including taking notes and recording action points.

  • Awareness of, and ability to work within, data protection and confidentiality requirements, including experience of dealing with sensitive information.
  • Good working knowledge of Microsoft Office, including Excel, Outlook and Word. Experience of patient administration systems, SystmOne or EMIS Web is desirable.
  • Able to plan and manage your own day-to-day workload, use initiative and apply sound judgement to select appropriate solutions.
  • Experience of working in an NHS or healthcare provider setting is desirable.
  • Flexibility regarding working hours.
