Position Overview

We are seeking a highly organized, detail‑oriented professional to join our remote team as an

Administrative Assistant, Customer Service, and Inventory Control Specialist

. This hybrid position blends three core functions into one dynamic role, allowing you to leverage your multitasking abilities, problem‑solving mindset, and passion for e‑commerce. You will be the primary point of contact for internal communications, the voice of careerzynith to our customers, and the guardian of inventory accuracy across multiple platforms.

Key Responsibilities

Administrative Assistant Duties

  • Conduct daily monitoring of the shared inbox, summarizing critical messages and forwarding actionable items to the manager with concise, clear reports.
  • Coordinate and schedule virtual meetings, executive appointments, and travel itineraries, ensuring all stakeholders receive timely calendar invites and relevant documentation.
  • Screen incoming phone calls, emails, and chat messages, responding directly when appropriate or routing them to the correct department with a professional tone.
  • Perform data entry, maintain organized records, track expenses, and support other administrative tasks that keep the team operating efficiently.

Customer Service Excellence

  • Respond promptly to customer inquiries via email, live chat, and ticketing systems, delivering accurate product information and troubleshooting guidance.
  • Handle complaints, process returns, and manage escalations with empathy, aiming for first‑contact resolution whenever possible.

  • Enter new products into each platform, ensuring that titles, descriptions, images, and pricing comply with marketplace guidelines.
  • Conduct regular inventory audits, reconcile discrepancies between platforms, and generate variance reports that highlight overstock or stock‑out situations.
  • Work closely with third‑party logistics partners and fulfillment centers to coordinate restocking, manage purchase orders, and guarantee timely order fulfillment.

Administrative & Reporting Tasks

  • Enter inventory control purchase orders (POs) into the system, tracking receipt dates, quantities, and vendor information.
  • Generate and analyze weekly inventory and customer service performance reports using Microsoft Excel, highlighting trends, KPIs, and actionable insights.
  • Maintain a well‑structured repository of documentation related to inventory adjustments, customer communications, and process improvements.
