Administrative Assistant

Location: Cheltenham or Tewkesbury, Gloucestershire
Contract: Temporary, 2 to 3 months
Hours: Part-time, 21 hours over 3 days per week
Pay: £14.34 per hour (+ £1.73 holiday pay)
Start Date: ASAP

Prospectus is delighted to be supporting a leading national children's charity in the search for a temporary Administrative Assistant to join their Youth Support Service. Please note that due to the access to vulnerable young people and their data, this role is subject to a basic DBS check and five years' reference checks. This is a fully on-site position based at Tewkesbury Youth Hub.

This is an excellent opportunity for an organised and proactive administrator to support a busy frontline service that works with young people, families and partner organisations across the local community. The successful candidate will play a key role in ensuring the smooth day-to-day running of the service, providing high-quality administrative support and acting as a welcoming first point of contact for visitors and stakeholders.

Key Responsibilities:

  • Provide efficient and effective administrative support to Service Managers, Youth Workers and external partners.
  • Act as the first point of contact at the Youth Hub, delivering a welcoming, professional and supportive experience.
  • Manage incoming telephone, email and in-person enquiries.
  • Coordinate meetings, diaries and service administration activities.
  • Maintain accurate records, databases and electronic filing systems.
  • Support the preparation and distribution of reports, meeting papers and correspondence.
  • Assist with monitoring expenditure, processing invoices and financial administration.
  • Order and manage office supplies and support the smooth operation of the hub.
  • Ensure confidentiality and compliance when handling sensitive information.
  • Provide general administrative support across the wider Youth Support Service.

Key Requirements:

  • Recent, relevant experience in an administrative or office management position, ideally within a charitable or not-for-profit organisation, with knowledge of youth, family, or care services.
  • Excellent organisational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Strong communication skills, both written and verbal, with confidence dealing with a wide range of different audiences and stakeholders, including the public.
  • Proactive and adaptable approach with the ability to work independently and as part of a team.
  • Strong attention to detail and a completer-finisher mindset.
  • Advanced IT skills including Outlook, Word and Excel, with experience using databases and reporting systems.
  • Ability to maintain confidentiality and handle sensitive information appropriately, with consideration of data privacy.
